Only Departments of Fort Lewis College may rent vehicles. The general public, other institutions, or other government agencies are not allowed to rent vehicles from Fort Lewis College.
To determine the availability of a vehicle, contact the PPS Service Center at 247-7000 as far in advance as possible. While an advance reservation may not guarantee availability of a vehicle, it may be helpful in determining whether or not Transportation Services will be able to accommodate departmental needs.
College vehicle reservations are accepted on a first-come, first-serve basis. No priority is given to any individual or group. To officially reserve a State vehicle, submit a Vehicle Request Form (VRF) as far in advance as possible with the following information:
A properly authorized VRF is required to be completed and received by PPS Service Center before the vehicle will be scheduled and/or released to the driver. All non-college drivers of state vehicles must be at least 21 years of age and possess a clean driving record. Any drivers that are not Colorado State Employees must submit an Authorized Volunteer Driver Form to the Environmental Health and Safety department. In accordance with State regulations and Fort Lewis College policy, and to ensure appropriate use of State vehicles, all rental charges are required to be billed to an existing FLC account. Credit card, cash, and check payments are not accepted. In the event the requestor is not able to arrive at the scheduled time, or if there is a need to cancel the reservation, please contact the PPS Service Center (247-7000) as soon as possible in order to avoid a "no show" charge. Rental rates are charged on a daily rate. Charges include vehicle liability insurance, required vehicle maintenance, and any lease charges paid by Transportation Services. Advanced pick up of vans after 3:00 PM will not be charged for that day. There is a one-day minimum rental and charges shall be assessed accordingly. No-show's and late returns are charged at the minimum daily rental rate for that vehicle.
State of Colorado Employees / Fort Lewis College Employees are able to rent vehicles if properly licensed. Fort Lewis College Employees are defined as Classified, Exempt (under contract), and temporary workers under a current CARF (Contract Authorization Request Form).
All non-college drivers of state vehicles must be at least 21 years of age and possess a clean driving record. Any drivers that are not Colorado State Employees must submit an Authorized Volunteer Driver Form. An Authorized Volunteer Driver Form must be completed, approved and submitted to the PPS Service Center each trimester. In accordance with State regulations and Fort Lewis College policy, and to ensure appropriate use of State vehicles, all rental charges are required to be billed to an existing FLC account.

Transportation Services manages the Fort Lewis College rental vehicles. This department is funded as a Revolving Fund and managed by personnel from the Physical Plant Services (PPS) Service Center and PPS Equipment Shop. When in use, vehicles are checked out to authorized individuals who must assume responsibility for the operation of the vehicle. The PPS Service Center (247-7000) and the PPS Equipment Shop (247-7560), are located in the Physical Plant Services Building at the north end of campus across from Hillcrest Golf Course. The main entrance is located on the east side of the building. Vehicles are available for pick up from the PPS Service Center which is open from 7:30 a.m. until 4:30 p.m. Monday through Friday.
PPS is involved in two specific functions in the management of these vehicles, i.e., operational support and the data entry/accounting cost process associated with vehicle operation. PPS schedules the use of the vehicles based upon receipt of requests. It inspects, cleans, maintains and repairs the vehicles. No vehicle is released for use with identified safety or operational problems, regardless of other commitments. In addition, PPS offers assistance to drivers as to where and how vehicles may be repaired when problems occur off campus.
Written permission must be granted by Colorado State Fleet Management before any state-owned vehicle may be driven out of the continental United States. This approval must be generated through the PPS Service Center as far in advance of the trip as possible.
State insurance rules prohibit vehicle use from personal errands or the transportation of family members or pets.
